The practical things you want to know.

How Rally fits your phone, your schedule, and the way your business already works.

Which trades does Rally support?

Rally is for plumbing, HVAC, electrical, roofing, and other trade businesses where missed calls mean missed work. We configure your services, area, appointment types, and human handoff rules, then rehearse the situations your team handles.

Can I keep my existing business number?

That’s the plan where your phone setup supports it. During onboarding, we’ll check your provider and agree on forwarding or another supported route. We test the route before customer calls move; keeping a number does not mean every phone system connects automatically.

Can Rally just handle missed or after-hours calls?

That can be the starting point for your pilot. We’ll agree on which calls go to Rally and verify that your phone provider supports the routing you want before launch. You don’t have to start by sending every call.

Is Rally a person or AI?

Rally is an AI receptionist, not a staffed answering service. It answers with your business information and can bring your team into the conversation when a person is needed. You can listen to examples and try it before using it with customers.

Can Rally actually book an appointment?

Yes. When booking is enabled for your pilot, Rally checks the available time and creates the appointment before confirming it. If booking cannot be completed, the request stays visible for your team to follow up.

Can I book appointments myself?

Yes. Start from a customer or request, or find the customer by name, phone, or address. Choose the date and an available morning or afternoon opening. You can also add a new customer while booking without an email address. Your office and receptionist use the same native schedule.

Can I reuse my usual quotes and prices?

Yes. Save your work and prices as templates, then use one to start a customer’s draft quote. Your team reviews the line items and total before sending. These are your saved prices—not AI-generated pricing—and creating a draft does not send it.

Can we see a returning customer’s history?

Yes. Calls, visits, service notes, and work records stay with the customer. Your staff can also keep separate service properties, additional contacts, equipment, warranty details, and service plans. A service plan tracks due work; it does not automatically book, message, or bill the customer.

Can I check a quote email before it goes out?

Yes. Preview the saved document, then review the recipient, sender, wording, and terms before explicitly queuing the email. Previewing sends nothing. A configured email sender is required, and queued does not mean delivered. The customer can read and print the quote through a private link; online acceptance and payments are not live.

Can customers approve job agreements and changes?

Yes. Your team can create a private review link for an existing job agreement or proposed change order. The customer reviews the scope and price, then approves or declines. Their response stays with the job. These review links are separate from read-only status and quote links; initial online quote acceptance and payment collection are not included. Creating a link does not send it.

Can we plan crew tasks and materials?

Yes. Break a job into work packages, assign a lead and internal crew, and plan tasks onto visits. Show prerequisites, instructions, required materials, completion notes, photos, and inspections with the work. Record supplier orders you have placed and track receipts; Rally does not purchase materials automatically.

How do approved changes connect to billing?

Approved increases can be allocated to invoice drafts. Supported reductions can be recorded as credits or draft adjustments, with the original scope and allocation history preserved. Record actual job costs separately from order commitments. These are billing and cost records, not automatic payment collection or supplier payments.

Can Rally follow up on an estimate?

The review controls are built for one follow-up email on a selected sent estimate. You choose the timing and wording, then review and enable it separately from scheduling that email. Replies, resolved work, opt-outs, or a staff pause can stop it. Live delivery is off by default and needs separate setup and a successful pilot test. This is not a bulk campaign or automatic enrollment of every quote.

Do I have to replace my scheduling software?

During pilot onboarding, we’ll work with you to develop an integration with your existing scheduling platform. We’ll confirm feasibility, scope, and timing together before work begins. Rally includes its own calendar today. External calendar connections are not generally available yet, so we’ll agree on what stays in each system before launch.

How will I know what happened on a call?

You can see the call summary, customer details, appointments, and callback requests in Rally. The work queue shows what still needs attention. During onboarding, we’ll agree on who checks it and what notifications are available in your setup; automatic texts are not assumed.

What happens when someone wants a person?

Rally can pass the reason for the call and the details to your approved contact. If the transfer doesn’t connect, a callback item stays in the queue. We test both the connected and unanswered paths before launch.

What does setup take from me?

We need your services, service area, hours, schedule, and the situations your team should handle. We do the configuration together, then you try realistic calls and approve the experience. We’ll agree on the time you need to set aside once we know the scope.

What does a pilot cost?

Pilot pricing is agreed with you before you commit. We’ll spell out the scope, included usage, any integration work, and the pilot terms. Email us with your team size and call volume to discuss a fit; there is no advertised free self-service plan.

What if Rally doesn’t know the answer?

It should say so and get your team involved. It does not invent exact pricing, diagnose a problem, decide insurance coverage, or claim a booking succeeded when it didn’t.

Does Rally send text messages?

SMS requires the business’s carrier registration and consent approvals before activation. We’ll confirm what is available for your pilot. Do not assume texting is switched on by default.

Will customers get automatic appointment reminders?

Not yet. Automatic appointment confirmations and reminders are not an included live workflow today. SMS approval alone will not turn them on; we’ll agree on what is available during your pilot.

Does Rally record calls?

Recording and transcript evidence are off by default. They require disclosure and consent, restricted access, retention limits, and deletion controls before activation. Our public demo recordings use fictional participants, not customer calls.

Can customers see job status or pay online?

Your team can share a private, expiring, read-only link to appointments, work, estimates, and invoices. Customer payments, portal rescheduling, and two-way portal messaging are not live.

Does Rally work with JobNimbus?

You can connect JobNimbus, preview selected estimate data, and import it after review. Continuous two-way sync and automatic updates back to JobNimbus are not available today.

Does Rally track trucks or optimize routes?

Rally shows assigned visits and supports map-assisted routes. It does not provide live GPS tracking or automatic route optimization.
